Exmoor Photography Course T&C's Page (subject to change)

PAYPAL PRIVACY POLICY - WE DO NOT STORE CREDIT CARD DETAILS NOR DO WE SHARE CUSTOMER DETAILS WITH ANY THIRD PARTIES.

·    1.1 Please note: if you are booking your course from overseas. It is essential that you provide us with contact details once you are in the UK as soon as possible, either your mobile number or a landline number from where you will be staying.

·       2.1 Payment: You can pay by debit or credit card over the phone, we except all major cards. You can also pay online; via PayPal, (you do not need a PayPal account).

·       2.2 Full payment to be made on booking all workshops and courses.

·       2.3 Once payment has been received, you will be sent a welcome pack containing all the information regarding your workshop or course, including the meet and greet location, booking confirmation/payment receipt and lunch form when applicable. This can be emailed and / or posted to you and will be sent within 24hrs of the full payment being received (usually the same day).

·       2.4 Please note: if any course enquiry with a provisional date, is not paid for to confirm the booking (as above) within five working days of the initial contact, unfortunately we will have to release any date discussed and make it available for other customers to book.

·       2.5 If the course date falls within the five working days, payment must be on initial contact.

·       2.6 Discount offer for NHS staff or service personnel: is valid for currently serving or retired staff only. Offer is only applicable to the staff member, it does not include family members etc. However, we often run additional offers for multi bookings on some workshops or courses. Proof of service will be required for this offer. Please contact us for information on current offers.

·       3.1 Course gift/e-vouchers: must be used within 6 months (course date booked) from the date of purchase. The course date itself must be completed within 12 months of the GV purchase date.

·       3.2 Please note that 4hr workshop and standard course gift vouchers can be upgraded to one of our course specials. Additional fee will be payable on booking this will be the difference between the voucher value and the upgraded course cost. Please note that any current course discounts will not apply. Any upgrade will be dependent on availability.

·       3.3 E-voucher/Gift vouchers are not redeemable for cash and can only be used for their intended activity.

·       3.4 E-voucher/Gift vouchers are non-refundable.

·       3.5 Please note the e-voucher/gift voucher will have the attending participant’s names on it and must be presented to Exmoor Photography staff at the meet & greet session on day of the course.

·       4.1 Late arrivals: please note that if you arrive late on the course day booked, we will only be able to hold the course for a maximum of 20 minutes, and you will miss the ‘meet & greet’. After this time, we will have to continue without you. In this situation, we regret that the course is non-refundable.

·       4.2 If you cannot make the course date booked, we will arrange an alternative date with you ASAP (this must be within 12 months of the original course date or the next season for specific wildlife courses).

·       4.3 If we have to change the course date booked, we will offer you an alternative date ASAP (this must be within 12 months of the original course date or the next season for specific wildlife courses).

·       5.1 Weather etc: please note that courses may be postponed if adverse/dangerous weather conditions are forecast or due to circumstances beyond our control. Jack keeps a close eye on the weather forecast and may postpone the course the day before if necessary.

·       5.2 We will phone you by 4.00 pm the day before the course date, if required.

·       5.3 We do not expect our customers to participate on the courses, in pouring rain or fog. This can also include very low temperatures (particularly if there is a wind chill factor). It is not very pleasant standing behind a camera tripod in freezing conditions. We can control most things, but not the weather! In the event of a postponement, we will re-book your workshop/course as soon as possible on a mutually agreeable date, may not be the same season (as per 4.3).

·       5.4 If you are unable to return in the immediate future because of other commitments we will provide you with a voucher, that you can use for re-booking when able (as per 4.3).

·       6.1 Kingfisher Hide: if the birds are a no show on the day of your course, we will refund £30.00.

·       6.2 Alternatively, we will offer you another date FOC (may not be same season as per 4.3), subject to a nominal charge towards costs (£25.00).

·       7.1 If asked to leave due to not following the morning briefing in relation to ethical behaviour not refunds will be given.

·       7.2 This applies to all of our workshop and courses.

·       8.1 Red Deer Rut Special: if the deer are a no show on the day of your course, we will refund £40.00.

·       8.2 we will offer you another day FOC (may not be same season as per 4.3), subject to a nominal charge towards our costs(£40.00).

·       9.1 Dipper Day Special: if the birds are a no show on the day of your course.

·       9.2 we will offer you another day FOC (may not be same season as per 4.3), subject to a nominal charge towards our costs (£40.00).

·       9.3 During the wildlife specials we run, including, The Deer Rut, Dipper, Ham Wall, Steart Marsh & Kingfisher). All the target species are wild therefore, we cannot guarantee finding and photographing them on the day of your course.

·       10.1 Bad weather on the day of any full day course: if we have started the course and the weather changes, we will offer you and alternative day ASAP (may not be the same season, if a wildlife course as per 4.3) the new date is subject to a minimum charge towards our costs £40.00

·       10.2 Exmoor photography will not be liable for any expense incurred, including travel and accommodation.

·       10.3 In addition, you may want to check with your accommodation provider (when booking) that they will provide you with an early breakfast, especially if booked on wildlife special.

·       11.1 Exmoor Photography policies documentation:

·       11.2 Please note that the essential purpose of our workshops/course is to educate participants, the transporting service is an ancillary part of the overall service and that we are not required to operate a private hire vehicle service. As governed by the Town Police Clauses Act, 1847 & Local Government (Miscellaneous Provisions) Act, 1976. (West Somerset Council assessment ref WK/000026650)

·       11.3 We have the following in place for your information, our Certificate of Motor Insurance covers business use, including using the vehicle for customer transport.

·       11.4 The vehicle is fully MOT’d & serviced annually.

·       11.5 Both Jack & Jamie hold current full UK Driving License.

·       11.6 Jack your driver, has an annual full medical assessment with his GP.

·       11.7 All staff are CRB checked where relevant.

·       12.1 Insurance: Exmoor Photography has Public Liability insurance (£5 million)

·       12.2 We also complete an annual risk assessment, which is reviewed / updated when / if required.

·       12.3 Please note it is your responsibility to have the appropriate insurance cover in place, including holiday, accommodation & lost work, in the event of a course postponement as per Exmoor Photography as per 10.2.

·       12.4 It is an essential booking condition that you accept the possible hazards involved while participating in the Photography courses with Exmoor Photography. All course attendees participate at their own risk and Exmoor Photography accepts no responsibility for injury or damage done to their persons or property.

·       12.5 It is the customer’s responsibility to have adequate insurance in place for the duration of the course and the activities undertaken. The insurance should cover you for cancellation and/or curtailment of the course, medical emergency expenses, personal accident, injury and/or death.

·       12.6 Equipment Hire: Any and all equipment hired from us for the duration of your workshop or course is fully insured under our policy.

·       12.7 Customer equipment: when using your own equipment, we strongly advise you have your own camera equipment insurance that covers accidental damage, loss, theft etc. We use Glover & Howe but a quick google search will return several photographic insurance companies. Exmoor Photography does not accept responsibility for any loss and damage of valuables, including camera equipment, during the course.

·       12.8 Exmoor Photography has private location access when required / for customers (like Jack) with limited mobility during the courses; these will only be used when weather permits and when necessary (subject to change).

·       12.9 You can view all the relevant policies and vehicle documentation at the 'meet & greet' if you wish to.

·       13.1 Medical: if you have a relevant change in health status before your workshop or course you must inform us as it may prevent you from safely participating on the date booked due to health & safety and may have to be postponed.

·       13.2 Medical issues include but not exclusively, sprained/broken limbs, surgical procedures, stiches and open wound following surgical procedure.

·       13.3 We reserve the right if a customer arrives for their day and has not informed us of a relevant medical issue to decline participation and re-book.

·       13.4 We carry a BSI compliant (BS-8599-1) first aid kit on board & a fire extinguisher.

·       14.1 Minimum Age: The minimum age for the cover is 13 therefore; we cannot cater for persons below this age.

·       14.2 A participating appropriate adult must accompany all course participants below the age of 18.

·       15.1 Please also note we cannot accommodate dogs.

·       16.1 Sorry, but we do not take other professional photographers on any of our courses.

·       17.1 Communication: If you would like to be added to Exmoor Photography mailing list, please complete the contact form on the 'contact us' page and we will include you on the list. Jack usually sends about one email a month to update customers with our latest offers online and news/offers regarding the Photography Courses. You can remove yourself from the list at any time if you change your mind.

·       17.2 If you have any questions, please do not hesitate to contact us.

·       17.3 NB All customer information including email addresses is stored on a secure encrypted system (not online) and we do not divulge to any other third parties.

·       17.4 We do not store hard copies or data relating to any form of payments processed (card details etc).

·       18.1 Refunds: once any payment is received, no refund will be allowed (subject to 18.2).

·       18.2 By law, customers located in the European Union also have the right to withdraw from the purchase of an item within seven working days of the day after the date the item is delivered. Where you are withdrawing from your purchase within the seven working day cooling-off period, and there has been no error on our part, we will refund the cost of the item and the cost of sending the item to you.

·       18.3 Any cancellation or postponement by the customer or by us due to circumstances beyond our control or adverse/dangerous weather conditions (as per 5.1). We will always offer clients several alternative dates that are mutually suitable for you and us, within 12 months of the original course date. May not be the same season if it is one of our wildlife specials (as per 4.3).

·       18.4 Any cancellation by us that is beyond our control or due to adverse/dangerous weather conditions (as per 5.1) and an alternative date cannot be made within the 12 months (or following seasons for specific wildlife courses), we will offer a refund within the 12-month period from the date of the original course booked. After the 12 months has lapsed no refund will be given.

·       19.1 GDPR: if you do not wish to receive further marketing emails from Exmoor Photography, please reply with the words ‘opt out’ thank you.

·       Exmoor Photography Ltd reserves the right to update these T&C’s.
